We are WordyTool, operated by the TCCGLab Team Center. This Privacy Notice sets out how WordyTool collects, processes, and protects information when you use our website or services. Your privacy is our highest priority, and we operate under strict data minimization principles.

            In Summary: We process your files only to perform the requested task (conversion or transcription). We do not store your files permanently. Everything you upload is automatically deleted from our servers within 1 hour.
        

1. What Data Do We Process?

1.1 User Files

When you upload documents (PDF, Images) or Media (Audio, Video/video url), these are referred to as "User Files." We process these files solely to provide the conversion or transcription service you requested. You remain the owner and controller of the data contained within these files.

1.2 Technical Metadata

To ensure system stability and provide the service, we temporarily process:

File name, size, and format.
IP address (for security and rate limiting).
Browser type and operating system.

2. Data Retention and Deletion

WordyTool is designed to be a "Transient Service." This means we do not keep data longer than absolutely necessary.

Automated Deletion: Our server is programmed to permanently erase all "User Files" and their results 1 hour after processing is complete.
Manual Deletion: We do not offer manual deletion because the automated process ensures no file survives past the 60-minute window.

3. How We Use Your Data

We process your personal data based on the following legal grounds:

Contractual Necessity: To provide the file conversion service you asked for.
Legitimate Interest: To maintain the security of our website and detect malicious bot activity.

We do not sell your personal data or file content to third parties or advertisers.

4. Third-Party Service Providers

To deliver high-accuracy AI results, WordyTool utilizes the following sub-processors:

OpenAI: Used for advanced transcription and text analysis. OpenAI does not use data submitted via API to train its models.
Tesseract OCR: An open-source engine used for local image-to-text processing.
YouTube-DLP: Used for processing public video links for transcription purposes.

5. Data Security

We implement industry-standard security measures to protect Your Personal Data:

Encryption: All file transfers to and from our servers are performed over encrypted HTTPS (TLS) connections.
Isolation: Each processing job is handled in a temporary, isolated environment.

6. Rights of the User

Depending on your location (GDPR, CCPA, etc.), you have the right to access, correct, or delete your data. However, because WordyTool deletes all user content every hour, we typically do not hold any identifiable data by the time a request is processed.
